How to Use Claude AI: A Beginner’s Guide for Work, Study and Business (2026)

The short answer

To use Claude AI, sign up free at claude.ai (or in the desktop or mobile app), start a chat and describe your task with context, the output you want and any limits. Upload files such as PDFs or sheets for Claude to read, use Projects to keep instructions and documents for repeated work, and always check facts before you use the answer.

Claude is the AI assistant I use every day: for first drafts, for summarising long documents, for planning campaigns and for the code behind my tools and this website. This guide shows a complete beginner how to start, how to ask well, and how to avoid the mistakes that make AI answers useless.

Step 1: Sign up

  1. Go to claude.ai, or download the desktop app (Mac, Windows) or the mobile app (iPhone, Android).
  2. Sign up with your email or Google account.
  3. Start on the free plan. Upgrade only when you hit its limits often. Plans and limits change, so check claude.ai for what applies to you.

Claude is made by Anthropic. The model menu lets you pick between faster and more capable models; the default is fine for most tasks.

Step 2: Ask well: the 4-part prompt

Most bad AI answers come from vague questions. Give Claude what a smart new colleague would need:

Part What to write Example
Context Who you are, what the task is for "I run a coaching centre in Kanpur."
Task Exactly what you want "Write a WhatsApp reply to a parent asking about fees."
Format Length, tone, structure "Under 60 words, warm, end with a question."
Limits What to avoid "Do not mention any fee amounts; I will add them."

Put together:

I run a coaching centre in Kanpur. Write a WhatsApp reply to a parent who asked
about Class 10 maths batches. Under 60 words, warm and simple English, end with a
question about which batch time suits them. Do not mention any fee amounts.

Then reply to improve it: "shorter", "more formal", "give me three versions". Claude keeps the conversation in mind.

Step 3: Give it files

Click the attachment button to upload PDFs, documents, images or spreadsheets. Then ask specific questions:

  • "Summarise this 40-page report in 10 bullet points and list every number it mentions with the page."
  • "From this sheet of enquiries, which source brought the most leads last month?"
  • "Read this screenshot of an ad and suggest three better headlines."

Tip: ask Claude to quote the part of the file it used. It makes checking much faster.

Step 4: Use Projects for repeated work

A Project is a workspace with its own instructions and files. Every chat inside it starts with that context, so you stop re-explaining yourself.

Example projects:

  • Social posts: instructions on your tone, banned words and audience, plus your brand notes.
  • Client reports: your report template and last month's report.
  • Study notes: your course PDFs, with "explain like a tutor, then quiz me".

Projects are available on every plan, with a limit on the number of projects for free accounts.

10 everyday tasks Claude does well

  1. Rewrite an email so it sounds clear and confident.
  2. Summarise a long PDF, meeting notes or a contract (then check the key points yourself).
  3. Turn messy notes into a task list with owners and dates.
  4. Draft blog outlines and FAQs from real questions. My SEO guide shows where to find those questions.
  5. Write ad copy variations. I explain my full process in how to run Meta ads using Claude.
  6. Explain a formula or a confusing report in simple words.
  7. Plan a week of study or work.
  8. Prepare for an interview with practice questions.
  9. Translate and adapt text between English and Hindi.
  10. Write small formulas, scripts or website code. For bigger coding work, use Claude Code.

Ready-to-copy prompts are on the resources page and in Claude prompts for work.

The checks you must always do

Claude is useful, not infallible. My rules:

  • Check every number, name, date and quote against a reliable source before you use it.
  • Recent events may be missing or outdated unless Claude searches the web.
  • Do not paste secrets: passwords, private customer data, confidential company files without approval.
  • Make the final words yours. Edit for your voice and your facts.
