10 n8n Workflow Ideas for Small Businesses (With the Nodes to Build Each One)
Ten n8n workflow ideas for small businesses, from instant lead alerts to AI-sorted enquiries and morning reports, with the trigger and nodes for each.

The short answer
Good first n8n workflows for a small business are: instant lead alerts, saving every enquiry to Google Sheets, an automatic first reply, follow-up reminders, AI tagging of enquiries, a daily summary, review requests, invoice reminders, social post drafts and a weekly ads report. Each uses a trigger node, a few processing nodes and an action node.
Once you have n8n running, the next question is: what should I actually build? Here are ten workflows that save real time for small businesses, in the order I would build them, with the trigger and nodes for each.
Every workflow follows the same pattern: trigger → process → action. Node names below match what you search for in n8n's node panel.
Instant lead alert
Problem: enquiries sit unseen for hours.
- Trigger: Webhook (from your website form) or the Facebook Lead Ads Trigger node.
- Process: Set node to pick name, phone, interest and source.
- Action: Telegram, Slack or email node with a short alert: who, what, when.
Build this first. It is the fastest win.
Every enquiry in one sheet
Problem: leads spread across forms, email and DMs.
- Trigger: the same triggers as above, one workflow per source.
- Action: Google Sheets node, Append row, with the same columns every time: date, name, phone, source, status.
Now one sheet is your simple CRM.
Automatic first reply
Problem: customers wait for a first response.
- Trigger: new lead (from workflow 1).
- Action: Gmail node (send email) or WhatsApp Business Cloud node (approved template, needs the API; see WhatsApp Business app vs API).
Keep it short and human: thank them, say who will contact them and when.
Follow-up reminders
Problem: "I forgot to call back."
- Trigger: Schedule Trigger, every morning at 9.
- Process: Google Sheets node to read rows, then an IF or Filter node: status is "new" and date is older than one day.
- Action: one message listing everyone to call today.
AI tagging of enquiries
Problem: you cannot tell serious buyers from browsers.
- Trigger: new lead with a message field.
- Process: an AI node (Anthropic Claude or another model) with a prompt such as: "Read this enquiry. Reply with one word: ready, question or browsing."
- Action: write the tag into the sheet and include it in the alert.
Keep a person in charge of what happens next. The AI only sorts. My Claude guide covers writing prompts like this.
Morning summary
Problem: the owner spends the morning asking for updates.
- Trigger: Schedule Trigger.
- Process: read yesterday's rows, count by status and source (Summarize node, or an AI node for a plain-English summary).
- Action: one message: "Yesterday: 12 new leads, 9 contacted, 3 pending."
Review requests
Problem: happy customers never leave a Google review.
- Trigger: a row marked "completed" in your sheet.
- Process: Wait node for two days.
- Action: a polite email with your Google review link.
Payment reminders
Problem: awkward chasing of unpaid invoices.
- Trigger: Schedule Trigger.
- Process: read invoices with status "unpaid" and a due date in the past.
- Action: a friendly reminder email, plus an internal note to you.
Social post drafts
Problem: the blank page every week.
- Trigger: Schedule Trigger on Monday.
- Process: AI node turns your notes, a new blog post or an FAQ into three short post drafts.
- Action: save the drafts to a sheet or doc for you to edit and approve. Do not auto-publish AI text without a check.
Weekly ads report
Problem: nobody looks at ad results until money is gone.
- Trigger: Schedule Trigger, Monday morning.
- Process: HTTP Request node to the Meta Marketing API (or export from Ads Manager to a sheet), then compute spend, results and cost per result.
- Action: one message with last week's numbers next to the week before.
Learn what those numbers mean in what performance marketing is.
Build order and tips
| Week | Build |
|---|---|
| 1 | Workflows 1 and 2 |
| 2 | Workflows 3 and 4 |
| 3 | Workflows 5 and 6 |
| 4 | Pick one of 7 to 10 |
- Test with fake data first. Use your own phone and email.
- Turn on error alerts with n8n's Error Trigger node, so a broken workflow tells you.
- Name nodes clearly, such as "Save lead to sheet", so you understand it in three months.
- Back up working workflows before editing.

Questions people ask
- What is an n8n workflow?
- A chain of nodes in n8n: a trigger that starts it, steps that process data, and actions that do something, such as sending a message or adding a row.
- Are there ready-made n8n templates?
- Yes. n8n has a public template library on its website that you can import and adapt. Check each template’s nodes and credentials before using it with real data.
- Can n8n use AI?
- Yes. n8n has nodes for AI models, including Anthropic’s Claude and OpenAI, plus AI agent nodes. You add your own API key for the model you use.
- Can n8n send WhatsApp messages?
- Yes, through the WhatsApp Business Cloud API with a connected number. The normal WhatsApp Business app cannot be automated this way.
- Which workflow should I build first?
- The instant lead alert. It is quick to build and solves the most expensive problem small businesses have: slow replies to new enquiries.
- Does n8n run when my laptop is off?
- Only if n8n runs on a server or n8n’s cloud. On your laptop, workflows stop when the laptop sleeps or shuts down.
- How do I avoid breaking a workflow?
- Test each node with sample data, turn on error notifications, and change one thing at a time. Keep a copy of a working workflow before you edit it.
